How Our Translation Process Works
Ordering a translation through RushTranslate is simple, but knowing what to expect can help ensure a smooth experience. This guide walks you through each step of the process—from preparing your documents to receiving the final translation.

Prepare Your Documents
We accept digital files in all standard formats (images, PDF, Word documents, etc.) uploaded directly through our website. We do not accept physical documents by mail. Your files are encrypted during upload and while stored on our servers to ensure your privacy and security.
All visible content on your documents will be translated—including stamps, signatures, and handwritten notes. If there is anything you don't want translated, please redact it before uploading.
Determine Word Count
Pricing is based on word count or page count depending on the service:
- Certified translations: Priced per page (up to 250 words per page)
- Standard translations: Priced per word
If you're unsure of your word count, don't worry—our system automatically calculates it for you and shows a preview of what was counted during checkout. If you believe there's an issue with the count, request a quote and our team will manually review your files to confirm the word count, pricing, and turnaround time.
Place Your Order
You can order directly from your quote or start from our checkout page. Here's what to expect:
- Log in or proceed as a guest.
- Select your translation type and provide document details.
- Choose optional services (e.g., expedited turnaround, notarization).
- Enter payment info, leave notes for your translator, and submit your order.
After submitting your order, you'll be taken to your Order Status Page, where you can track progress, download files, request revisions, and leave a review.
Translation Begins
Our support team will:
- Review your files for legibility
- Confirm word/page counts
- Review any notes you've added
We then assign your order to a qualified translator. This is when the estimated turnaround time on your order status page begins. If anything needs clarification before assignment, we'll place your order on hold and email you. Prompt responses help avoid delays.
Review and Approve
When your translation is ready, we'll email you. You can then:
- Approve the translation if required
- Request revisions (your translator will review and revise if appropriate)
To avoid costly re-shipments, certified translations with shipping require your approval before we finalize and send your order.
Order Completion
Once finalized, we'll send an email confirming that your order is complete. You can download your files directly from your order status page. If your order includes a hard copy, we'll email you a tracking number when it ships.
Order Status Definitions
Your order will move through different statuses. Here's what they mean:
Status | Description |

New | Order received. We're reviewing and assigning a translator. |
In Progress | Your translation is actively being worked on. |
On Hold | We're waiting on you to resolve an issue. Check your email. |
Client Review | Your translation is ready for review. Approve or request a revision. |
In Revision | A revision is being made. We'll notify you when it's ready. |
In Review | A staff member is reviewing your translation. |
Approved | You've approved the translation. We're finalizing. |
Finalizing | We're preparing the final files and optional services. |
Completed | Your translation is complete. Files are ready to download. |
Canceled | Order canceled. Refund issued if applicable. |
