How to Manage Your Quote

Learn how to manage your quote from submission to payment—including how to access it, make updates, add services, send a payment link, and convert it to an order.

Accessing Your Quotes

When you submit a quote request, we email you a direct link to the quote page. This link allows you to access your quote at any time—even if you didn't create an account.

If you do have an account, you can also log in and go to the Quotes section to view all of your quote requests. From there, you can search, filter, and sort to quickly find what you're looking for.

Click any quote to view full details, download a PDF, make changes, or complete payment.

Understanding Quote Statuses

Each quote is assigned a status to help you track its progress. Your quote page clearly displays the current status, along with a brief explanation of what's happening now and what to expect next.

Status Description
Requested We've received your request and are preparing your quote, including pricing and turnaround time. You'll receive an email as soon as it's ready to review.
Pending Payment Your quote is ready. Review the details and complete payment to begin your translation. You can also edit optional services from the quote page, or contact support if you need other changes.
On Hold We've contacted you by email with a question or issue about your quote. Please reply so we can continue processing.
Paid Your quote has been approved and paid for. It's now an active order. You'll receive a confirmation email and can track progress from your order status page.

Editing Add-On Services

You can edit optional services like notarization, expedited turnaround, or shipping directly from the quote page—no need to contact support. Just click "Edit add-on services", adjust your selections, and your quote will update automatically.

Note: Any changes to your base translation service, language pair, or document content must be handled by our support team.

Requesting Changes to Your Quote

If you need to replace a file, add documents, change the language pair, or change the translation type (e.g., from standard to certified), please contact our support team. Be sure to include your quote number and clearly describe the requested changes.

We can often update your existing quote, but in some cases, a new quote may be needed.

Adding Comments or Special Instructions

If you forgot to include important details—such as formatting preferences, how to handle names or handwritten content, delivery instructions, or anything else specific to your request—you can still provide them after submission.

To add instructions, simply reply to your quote email or reach out through our contact form. Include your quote number and clearly describe what you'd like to communicate. Our team will update your request and ensure the translator receives the information before work begins.

Providing clear instructions upfront helps avoid unnecessary revisions and ensures your translation is completed according to your expectations.

Accepting and Paying for a Quote

Once your quote is ready, you'll receive an email notification with a secure link to review and pay. You can also access it from your account if you're logged in. Review the project details, total cost, and estimated turnaround time carefully before proceeding.

We accept all major credit cards, PayPal, and business invoicing for approved accounts. As soon as payment is submitted, the quote will convert to an order and move into processing.

Quotes remain valid for a minimum of 30 days. If your quote expires before you complete payment, simply contact us and we'll reactivate it for you—no need to submit a new request.

If someone else—such as a client, employer, or family member—needs to pay for your quote, you can send them a secure payment request directly from the quote page.

To do this, fill in their name, email address, and an optional message. The recipient will receive an email with your message and a secure link to complete payment. They will not be able to view any quote details beyond the quote number and total due.

Once payment is submitted, the quote will be converted to an order and you'll receive a confirmation email.

What Happens After You Pay

Once payment is received, your quote is automatically converted into an active order. You'll get a confirmation email, and the project will begin processing.

Turnaround time starts once we've reviewed the order and assigned a translator. You'll be able to track progress and download files from the order status page once your translation is complete.

The original quote will remain accessible in your account for your records, but it will no longer be updated. All future communications and actions will be associated with the order.

Downloading Your Quote

Need a copy of your quote for internal approval, documentation, or billing? You can download a clean, professional PDF version from the quote page at any time.

The downloaded quote includes your project details, total cost, estimated turnaround time, and all selected services. This is especially useful for sharing with team members, clients, or third-party payers.

Viewing Your Quote History

Your full quote history is available under the Quotes section of your account. From there, you can:

  • Revisit previous quote details
  • Track the status of open quotes
  • Reference quote numbers for support inquiries

If you submitted a quote as a guest and later created an account with the same email, your previous quotes will automatically appear in your account.
