Accepted File Formats
Upload digital copies of your documents through our website; we do not accept physical documents by mail. Your uploads are encrypted during transfer and stored securely using Amazon Web Services. You can submit scans, photographs, or electronic files in most standard document formats, including:
- PDF (.pdf)
- Microsoft Word (.doc, .docx)
- Image files (.jpg, .jpeg, .png, .tiff, .webp)
- Text files (.txt, .rtf)
- Excel or PowerPoint (.xls, .xlsx, .ppt, .pptx)
- CSV (.csv)
Tips for Scanning or Photographing Documents
Clear files help the translator read every name, number, stamp, and note without having to ask for another copy. Before uploading a scan or photograph, check that all the text is readable and the full page is visible. These tips can help:
- Use high resolution: At least 300 DPI is ideal for scans. For photos, ensure the text is sharp and clear.
- Good lighting: Avoid shadows, glare, or overexposure that might obscure the text.
- Frame the document properly: Crop out background and make sure the document fills the image without cutting off edges.
- One document per image: Avoid sending multiple documents or pages in a single photo.
- Keep it flat and aligned: Scans or photos should be straight and not angled or distorted.
Uploading Files During Checkout
You'll be prompted to upload your documents during the checkout process. Drag and drop your files or browse from your device. Uploaded files are automatically counted to calculate pricing, and a word count preview is shown so you can verify the accuracy before submitting your order. Our team will review all files before translation begins.
If your document is:
- Too large: The upload limit is 100 MB per file. Try compressing or splitting the file if needed.
- Split into parts: Combine the parts into one file before uploading when possible. If you need to upload them separately, leave a note explaining how they fit together so our team can combine them correctly.
- Password protected: If you upload a password-protected PDF, our system will prompt you to enter the password so we can access the file for word counting and translation.
Our team will contact you if we need to clarify file quality, document grouping, or another part of your request. If you haven't provided specific instructions, the translator will use the files and their professional judgment to organize the translated documents.
Adding or Replacing Files After Ordering
If you need to add or replace a file after placing your order, please contact our support team. We'll reopen your order so you can upload the new file.
Keep in mind:
- If your order is already in progress, additional charges may apply depending on the word count and stage of completion.
- Our team will review the updated files and confirm any changes in price or turnaround time before proceeding.
Certified Translation Coversheets
Certified translation orders typically include one Certificate of Translation Accuracy (coversheet), signed and stamped by the translator and RushTranslate. If you need a separate coversheet for each document, leave a note during checkout. We'll use your instructions and the file structure to determine how to group the documents. When neither makes the grouping clear, the translator will use their professional judgment.
If the documents need to be grouped differently after delivery, you can submit a revision request from your order page. This can delay final processing, especially if notarization or shipping is involved. Giving us the grouping instructions when you order helps us prepare the files correctly from the start.
