When to Request a Quote
For most documents, start with checkout. Upload your files to see the billable word count, price, and estimated turnaround before paying. A free quote is an alternative when automatic counting doesn't work, the count looks incorrect, or you need our team to review complex files, special instructions, or recipient requirements. You can also request one if you prefer a manual estimate before ordering.
Your Files Are Low Quality
If your scans or photos are blurry, dark, cropped, or otherwise hard to read, our automated counter may miscalculate the word count, or fail entirely. A quote request allows us to manually verify the files are legible and provide accurate pricing.
Your Files Contain Multiple Languages
If different parts of a document are written in different source languages, request a quote before ordering. Include every page and both sides where needed, identify all source languages and the target language, and explain which parts need translation. Our team will review the complete scope and provide a price and estimated turnaround before you pay.
If a document repeats the same content in several languages, the automated counter includes all visible text. A quote lets our team review which sections need translation and exclude duplicate content from the quoted scope. Tell us which language and sections you want translated so we can price the request correctly.
Alternatively, you can redact the duplicate sections yourself before uploading to get an instant price during checkout.
Your File Couldn't Be Automatically Counted
Some file types, like spreadsheets, CSVs, and PowerPoint presentations, aren't counted automatically because they often include large amounts of non-translatable content. A manual quote helps us count only the relevant material and ensure accurate pricing.
File quality or a brief service interruption can also prevent automatic counting. If the counter cannot process your upload, submit a quote request with the same files. Our team can review them manually and confirm the word count, price, and estimated turnaround.
You Have Specific Formatting or Other Requirements
Request a quote when your instructions go beyond the options shown at checkout. You may need extra context included, content combined or split in a particular way, or specific formatting. Our team can review those details and confirm what we can provide before translation begins.
Be sure to include a clear description of your request and we'll review it before starting work.
You Just Want a Price Without Committing
A quote gives you a detailed price and estimated turnaround without requiring payment. If you're still planning your submission or waiting for approval, you can save the quote and return to it later. Requesting one does not commit you to placing an order.
You can also export the quote as a PDF to share with others or have a third party pay for it to convert it into an order.
Combining or Splitting Content Across Files
You can explain routine document grouping in the notes during checkout, including requests for a separate certificate and notarization for each document in one order. The normal order-level notarization charge applies. If you want us to review how content should be combined or split before you order, include your files and instructions in a quote request.
Translating Into Multiple Languages
If you need translations into several target languages, include all the required languages in one quote request. Our team can prepare a separate quote for each language pair and coordinate the corresponding orders. This gives us one place to review your files, instructions, and any delivery requirements that apply across the translations.
Third-Party Requirements
Some recipients have specific rules for formatting, certification, or delivery. Requesting a quote gives us the opportunity to confirm whether we can meet those requirements before you place your order.
How the Quote Process Works
- Upload your documents: Use the quote request page to upload one or more files. You can upload most common file types, including PDFs, Word documents, images, and more.
- Choose your language pair and service: Select the source and target languages and either certified or standard translation. If you aren't sure which service your recipient needs, include its instructions in your request so we can review them with you.
- Select any additional options: Add any services you need, such as expedited turnaround, notarization, or hard copy shipping. Review the available options for your selected translation service. You can adjust them on your quote before paying if your requirements change.
- Include any special instructions (optional): Add notes for anything you'd like our team or translator to know. This may include spelling preferences, how to handle names or handwritten text, grouping of documents, or certification formatting details.
- Submit the request: A quote is free and does not require payment. After submitting, you'll receive a confirmation email. Our team will review the files, word count, selected services, and instructions before preparing your quote.
- Wait for review: Within about an hour, we'll email you a secure link to your quote with a detailed price breakdown, estimated turnaround time, and the option to make edits or proceed with payment.
What to Include With Your Quote Request
Include the files and instructions our team needs to understand the full request. Readable documents and clear details let us confirm the scope, price, and turnaround without asking you to submit missing information. Before sending your request, check the following:
- Legible, complete files: Make sure your documents are fully visible, not cut off, and free of shadows or blur. Poor-quality scans or photos may delay your quote or require us to request new files. Learn more.
- Passwords: If you upload a password-protected PDF, our system will prompt you for the password so we can access the file for review and pricing.
- Special requests: Tell us if you need a separate Certificate of Translation Accuracy for each document, have preferred spellings for names, or need particular formatting or delivery arrangements. Include any recipient instructions that affect how the translation should be prepared.
- Group or split files logically: Organize your files to show which pages belong to each document. If you want individual translations or one combined translation, explain the grouping in your instructions so the translator can prepare the output accordingly.
- Redact any content you don't want translated: Remove or obscure sections you want excluded before uploading, or identify them clearly in your instructions. This lets our team confirm which content to include in the quote and helps the translator follow the agreed scope.
How to Access and Convert Your Quote
We'll email you a secure link when your quote is ready. Open it to review the price and estimated turnaround, then pay when you're ready to order. See accessing your quotes and converting a quote into an order for the steps and payment options.
Need to Make a Change?
Before paying, you can edit optional services on your quote. File, language, or translation-type changes need our team's review. See requesting changes to your quote for how to submit them.
