When to Request a Quote

Most customers can place orders directly through our website, but there are situations where it's better to request a quote. This includes cases where your files are low quality, contain multiple languages, couldn't be automatically counted, or are password-protected. You may also want a quote if you have specific requirements, aren't ready to place an order, need to combine or split content across files, are translating into multiple languages, or must meet third-party requirements.

How the Quote Process Works

  1. Upload your documents — Use the quote request page to upload one or more files. You can upload most common file types, including PDFs, Word documents, images, and more.
  2. Choose your language pair and service — Let us know the source and target languages for your translation, and select the appropriate service (e.g., certified, standard, notarized). If you're unsure, you can mention that in the instructions—we'll clarify before proceeding.
  3. Select any additional options — Choose from available add-ons such as expedited turnaround, notarization, or hard copy shipping. These options are clearly labeled and can be adjusted later if needed.
  4. Include any special instructions (optional) — Add notes for anything you'd like our team or translator to know. This may include spelling preferences, how to handle names or handwritten text, grouping of documents, or certification formatting details.
  5. Submit the request — No payment is required to request a quote. After submission, you'll get a confirmation email, and our team will begin reviewing your request promptly.
  6. Wait for review — Within about an hour, we'll email you a secure link to your quote with a detailed price breakdown, estimated turnaround time, and the option to make edits or proceed with payment.

What to Include With Your Quote Request

Providing clear, complete information upfront helps us review your files quickly and accurately—ensuring you get an accurate quote without delays. Before submitting your request, double-check the following:

  • Legible, complete files — Make sure your documents are fully visible, not cut off, and free of shadows or blur. Poor-quality scans or photos may delay your quote or require us to request new files. Learn more.
  • Passwords — If your document is password-protected and you can't remove the restriction, include the password in the notes field when submitting your quote. Without it, we won't be able to review your file or provide accurate pricing.
  • Special requests — Let us know if you need a separate Certificate of Translation for each document, if you prefer a specific spelling or formatting style, or if there are other delivery instructions we should follow. Clear instructions help us quote and deliver your project correctly the first time.
  • Group or split files logically — If you're submitting multiple documents, organize them in a way that makes it clear how the translations should be separated or grouped. This ensures translators deliver the output in the format you expect—whether as individual documents or a combined translation.
  • Redact any content you don't want translated — If there are sections of a document that shouldn't be translated, either remove or obscure them before uploading, or leave a clear note in the instructions. This prevents confusion and ensures you're only quoted for the content you actually need translated.

How to Access and Approve Your Quote

Once our team reviews your files, you'll receive an email with a secure link to your personalized quote. From there, you can:

  • View the quoted price and estimated turnaround time
  • Add or update optional services like notarization or expedited delivery
  • Submit payment to convert the quote into an active order
  • Download a PDF copy of your quote for your records
  • Send a secure payment link to someone else, if needed

Quotes are valid for at least 30 days, but if yours expires, we can easily reactivate it—just contact our support team.

Need to Make a Change?

You can make some updates—like adding or removing optional services—directly from the quote page. For other changes, such as updating files, switching languages, or adjusting the translation type, just reply to your quote email or contact support. We'll revise your quote and send an updated version, usually within an hour.
